1. General Refund Policy
Due to the custom, time-intensive, and creative nature of video editing and production services, all sales are generally considered final once work has commenced. However, we understand that certain circumstances may warrant a refund or partial refund, as outlined below.
2. Deposit Refunds
2.1 Before Work Begins
If you request a refund before any work has been initiated on your project, you may be eligible for a full refund of your deposit, minus any administrative or payment processing fees (typically 3-5%).
2.2 After Work Begins
Once work has commenced, deposits are non-refundable. This includes activities such as:
- Initial consultation and project planning
- Asset review and organization
- Preliminary editing or design work
- Communication and coordination with the client
If you choose to cancel the project after work has begun, you will be billed for all work completed up to the point of cancellation, and the deposit will be applied toward that balance.
3. Refunds for Completed Work
Once a project has been delivered and the final payment has been made, refunds are not available. This is because:
- The work has been completed according to the agreed-upon scope and specifications
- You have received the final deliverables and have the right to use them
- The time, effort, and resources invested in the project cannot be reclaimed
We encourage all clients to provide thorough feedback during the revision process to ensure the final product meets their expectations before final approval.
4. Refunds for Non-Delivery or Service Failure
4.1 Non-Delivery
If we fail to deliver your project within the agreed-upon timeline and have not provided a valid reason for the delay (e.g., client-side delays, force majeure), you may request a full or partial refund.
4.2 Failure to Meet Agreed Specifications
If the final deliverable does not meet the specifications outlined in the project agreement, and we are unable to resolve the issue through revisions, you may be eligible for a partial refund. The refund amount will be determined based on the extent of the deviation from the agreed-upon scope.
4.3 Technical Errors
If the final deliverable contains significant technical errors (e.g., corrupted files, incorrect format, missing assets) that we are unable to correct, you may request a refund for the portion of the project affected by the error.
5. Subscription and Retainer Refunds
5.1 Monthly Subscriptions
If you are enrolled in a monthly subscription or retainer plan, you may cancel at any time. However, payments for the current billing period are non-refundable. Cancellations will take effect at the end of the current billing cycle, and no further charges will be made.
5.2 Unused Hours or Credits
Any unused hours or credits from a subscription or retainer plan do not roll over to the next billing period and are non-refundable unless otherwise stated in your service agreement.
6. Revision Requests and Refunds
All projects include a specified number of revision rounds (typically 2-3) as outlined in the service agreement. If you are dissatisfied with the initial draft, we encourage you to use these revision rounds to refine the work.
Refund requests based solely on stylistic preferences or subjective dissatisfaction will not be honored if:
- The work was completed according to the agreed-upon brief and specifications
- Revisions were offered and either not utilized or exhausted
- The client provided unclear or incomplete direction
We are committed to working with you to achieve the best possible outcome, and refunds should be considered a last resort.
7. Refund Request Process
If you believe you are eligible for a refund under the terms of this policy, please follow these steps:
- Submit a Written Request: Send a detailed refund request via email to support@cutflowproductions.com. Include your project details, invoice number, and the reason for the refund request.
- Review Period: We will review your request within 5-7 business days and respond with a decision.
- Resolution: If your refund is approved, we will process it within 10-14 business days. Refunds will be issued to the original payment method used at the time of purchase.
Please note that payment processing fees (typically 3-5%) are non-refundable and will be deducted from the refund amount.
8. Chargebacks and Disputes
If you initiate a chargeback or payment dispute without first attempting to resolve the issue directly with us, we reserve the right to:
- Suspend or terminate services immediately
- Withhold all deliverables and project files
- Pursue legal action to recover damages, including attorneys' fees and administrative costs
We strongly encourage clients to contact us directly to resolve any billing or service issues before involving payment processors or financial institutions.
9. Exceptions and Special Circumstances
In rare cases, we may consider refund requests outside the scope of this policy on a case-by-case basis. Factors we may consider include:
- Documented medical emergencies or personal hardships
- Technical failures on our end that prevented project completion
- Significant miscommunication or errors in project scope
Any exceptions to this policy will be at the sole discretion of CutFlow Productions and must be requested in writing.
10. No Refunds for Third-Party Costs
Refunds do not include costs incurred from third-party services, such as:
- Licensed music, stock footage, or graphics purchased for your project
- Hosting, file transfer, or cloud storage fees
- Contractor or freelancer fees for specialized services (e.g., voiceover, animation)
These costs are passed through to the client at cost and are non-refundable.
11. Modifications to This Policy
We reserve the right to update or modify this Refund Policy at any time. Any changes will be effective immediately upon posting to our website, and the "Last Updated" date at the top of this page will be revised accordingly.
It is your responsibility to review this policy periodically. Continued use of our services following any changes constitutes acceptance of the updated policy.
